TÓM TẮT CÔNG VIỆC

Giám Sát Vận Hành chịu trách nhiệm tổ chức, giám sát và điều phối toàn bộ hoạt động kho và phân phối hằng ngày. Vị trí đóng vai trò đầu mối liên lạc chính cho mọi vấn đề vận hành, đảm bảo phối hợp nhịp nhàng giữa khách hàng, nhà vận chuyển và đội ngũ nội bộ.

TRÁCH NHIỆM CHÍNH

- Quản lý phân phối - 55%

• Lập kế hoạch giao hàng, điều phối vận tải và theo dõi tiến độ giao – nhận.
• Kết hợp các lệnh giao hàng để tối ưu hiệu suất sử dụng xe tải.
• Quản lý vận chuyển inbound/outbound, điều phối chuyển nội bộ.
• Theo dõi, kiểm soát chi phí vận tải và phân phối.
• Xử lý các vấn đề phát sinh trong quá trình vận chuyển hoặc giao nhận.
• Thực hiện và giám sát hoạt động của nhà cung cấp dịch vụ vận tải theo KPI.
• Đảm bảo tuân thủ SOP, HSE và quy trình vận hành của khách hàng.

- Chăm sóc khách hàng - 25%

• Cung cấp thông tin lô hàng, tình trạng giao hàng và phản hồi kịp thời.
• Theo dõi, xác nhận POD, xử lý thắc mắc và yêu cầu từ khách hàng.
• Đảm bảo không phát sinh khiếu nại vận hành hoặc giảm thiểu ở mức thấp nhất.
• Là đầu mối tiếp nhận và xử lý các vấn đề vận hành cần escalation.

- Kiểm soát hoạt động kho - 5%

• Giám sát chính xác xuất – nhập – tồn theo sơ đồ kho & quy trình chuẩn.
• Phối hợp kho trong xếp dỡ, kiểm đếm, bố trí vị trí hàng hóa.
• Kiểm soát tồn kho, xử lý chênh lệch, đảm bảo độ chính xác >99%.
• Đảm bảo quy định an toàn (HSE), vệ sinh, bảo quản hàng hóa.

- Quản lý dữ liệu & hệ thống - 15%

• Thực hiện các giao dịch hệ thống trên Oracle / SAP / WMS.
• Kiểm soát dữ liệu vận hành & tồn kho, đảm bảo tính chính xác và toàn vẹn.
• Quản lý và lưu trữ đầy đủ chứng từ giao – nhận, vận tải, đối soát.
• Lập báo cáo vận hành định kỳ: OTIF, chi phí vận tải, năng lực giao hàng…

- Quản lý đội nhóm & phối hợp

• Quản lý đội ngũ vận hành (transport + small cross-docking).
• Huấn luyện, đào tạo và phát triển kỹ năng cho nhân viên.
• Phối hợp nội bộ giữa CS – Warehouse – Transport – Planning.

JOB SUMMARY

The Operations Supervisor is responsible for organizing, supervising, and coordinating all daily warehouse and distribution activities. This position serves as the primary point of contact for all operational issues, ensuring smooth coordination between customers, carriers, and internal teams.

KEY RESPONSIBILITIES

- Distribution Management - 55%

• Plan delivery schedules, coordinate transportation, and track delivery/receipt progress.
• Combine delivery orders to optimize truck utilization efficiency.
• Manage inbound/outbound transportation and coordinate internal transfers.
• Monitor and control transportation and distribution costs.
• Handle issues arising during the transportation or delivery process.
• Implement and monitor the performance of transport service providers according to KPIs.
• Ensure compliance with SOPs, HSE, and customer operating procedures.

- Customer Service - 25%

• Provide shipment information, delivery status, and timely feedback.
• Track and confirm Proof of Delivery (POD), handle inquiries and requests from customers.
• Ensure no operational complaints occur or minimize them to the lowest level.
• Act as the focal point for receiving and handling operational issues requiring escalation.

- Warehouse Operations Controller - 5%

• Supervise accurate inbound, outbound, and inventory status according to the warehouse layout and standard procedures.
• Coordinate with the warehouse in loading/unloading, counting, and arranging cargo positions.
• Control inventory, handle discrepancies, and ensure data accuracy >99%.
• Ensure safety regulations (HSE), hygiene, and cargo preservation.

Data & System Controller – 15% 

• Perform system transactions on Oracle / SAP / WMS.
• Control operational and inventory data, ensuring accuracy and integrity.
• Manage and store all delivery, transportation, and reconciliation documents.
• Prepare periodic operational reports: OTIF, transport costs, delivery capacity, etc.

- People & Coordination 

• Manage the operations team (transport + small cross-docking).
• Coach, train, and develop skills for employees.
• Coordinate internally between CS – Warehouse – Transport – Planning.
