General Accountant - Ecommerce

JOB PURPOSE 

Manage all general accounting functions for an e-commerce business, including bookkeeping, tax filing and compliance, and account balance reconciliation — ensuring financial data is accurate, timely, and fully compliant with applicable laws and regulations.

KEY RESPONSIBILITIES 

Bookkeeping & Transaction Recording 

• Record all transactions accurately and completely: sales revenue across e-commerce platforms (Shopee, Lazada, TikTok Shop, Brand.com.), operating expenses, advertising spend, platform commissions, shipping fees, discounts, and product returns. 

• Track and maintain accounts receivable from each e-commerce platform; reconcile against settlement reports provided by each marketplace. 

• Record inventory movements (inbound, outbound, on hand) using the appropriate costing method; reconcile book inventory. 

• Track and record marketing expenses, promotions, vouchers, and flash-sale costs, ensuring proper allocation to the correct accounting period. 

• Maintain organized and complete source documents and support records in accordance with company policy and regulatory requirements. 

Tax Filing & Regulatory Compliance 

• Prepare and submit VAT, WHT, CIT… within statutory deadlines. 

• Monitor and reconcile input and output invoices; manage electronic invoicing systems. 

• Stay current on tax policy changes relevant to e-commerce operations (e.g., foreign contractors withholding tax, marketplace regulations, import/export duties where applicable). 

• Liaise directly with tax authorities during audits, inspections, or inquiries. 

• Ensure full compliance with invoice regulations for B2C transactions conducted through e-commerce platforms. 

Balance Reconciliation & Reporting 

• Perform monthly/quarterly reconciliation of all general ledger accounts: cash, bank deposits, accounts receivable, accounts payable, inventory, advances, and prepaid expenses. 

• Reconcile outstanding balances with each e-commerce platform, third-party logistics providers (3PLs), and suppliers; investigate and resolve discrepancies. 

• Prepare trial balances and verify the reasonableness and consistency of account relationships before finalizing financial statements. 

• Prepare monthly, quarterly, and annual financial statements (Balance Sheet, Income Statement, Cash Flow Statement, and Notes to Financial Statements). 

• Perform other tasks assigned by the line manager.
